What we collect, why, who sees it, where it goes and how long we keep it.
1. If you called a business that uses Answerling
When an Answerling agent answers a call for a business, we collect:
- the audio of the call;
- a written transcript;
- a short summary, a one-word read of your mood, and the details the agent takes down, usually your name, the number to reach you on and what you called about;
- the number you called from and the number you called;
- the time and length of the call.
We collect it to answer the call on the business’s behalf and deliver it to them, to keep a backup, and to fix and improve that business’s agent. The business you called is the one you have the relationship with; we process your call as their service provider, on their instructions. The agent tells you the call is being recorded unless the business has asked us in writing to take that notice out (see Recording consent).
To hear or delete a recording of your call, or to correct the details taken down, contact the business you called; they can ask us and we act on their instruction. If you cannot reach them, contact us and we will help.
2. If your business uses Answerling
We collect what we need to build and run your agent and to bill you: your business name, hours, services, the questions callers ask, who should be told about each call and how, the phone numbers involved, the email addresses of the people you give dashboard access to and of any Zapier account you connect, and your billing details. Your callers’ data (section 1) is collected on your behalf. Your service agreement says more about each side’s responsibilities.
3. If you visit this website
Booking a call. Your name, email and phone number, the page you sent them from, the page that led you there and your browser type. We use them to reply to you and set up the call.
The demo. What you type to set up the demo is saved for the call and for our team. The call, or one to a demo number we give you, is recorded, transcribed and summarised like any other, and what it takes down comes to our team, not to any business. A demo call started on this website answers in the business name you type and takes down the request, as your own agent would. Some calls to a demo number we give you are also sales conversations: our agent may offer to have our team call you about setup and pricing, and we note how interested you sounded, how you handle calls today and any concerns, so we can follow up. We listen to demo calls to improve the demo agent. Do not share anything sensitive on it.
The site sets no advertising cookies and uses no analytics trackers. The services that run the site see your network address and the pages you open, as any website’s do. A few settings, such as your demo setup and dashboard sign-in, are also remembered in your own browser.
4. Who else sees it
Our providers. Service providers run parts of the product on our instructions: a voice and telephony platform that carries, records, transcribes and summarises calls; a database host, which also sends sign-in links; an email service for the emails about calls; a network service in front of the server that runs our automations; and a web host. All are in the United States, and each may use the data only to provide its service to us. A current list is available on request. Write-ups of some demo calls also go to our own Zapier account, where we test the route below.
Where a business sends its write-ups. A business can arrange with us to have each call’s write-up sent on after the call, through Zapier, into its own Zapier account and on to the apps it chooses. It carries who rang, their numbers, what they need, how the call ended, a one-word read of their mood, a summary and the transcript. When a Zap is set up or tested, Zapier is also sent up to three of the business’s latest write-ups as samples. Those copies are then the business’s, under its own arrangements with Zapier and those apps.
We do not sell call data or any other personal information, and we do not use it for advertising. We share it beyond our providers only when a business asks us to, when the law requires it, or to protect someone’s safety.
5. How long we keep it
Recordings, transcripts and summaries are kept while the business is our customer, and deleted when it asks or within thirty days after its account closes. That deletion does not reach our weekly backup of call details and transcripts, kept in our own mailbox; our providers’ routine backups, which expire on their own schedule; or copies in the business’s own inbox and apps, which are its to delete.
Demo calls and website enquiries are kept until you ask us to delete them. That deletion does not reach the emails about them in our own mailbox, our weekly backup, the write-ups in our own Zapier account, or copies that expire on their own, such as our providers’ routine backups.
6. How we protect it
Recordings, transcripts and summaries are encrypted in transit and at rest in our database and recordings store, behind logins we make only for the people a business names; our own team can see them too. A recording plays in the business’s dashboard, from our own copy, and we do not publish recordings. The summary and details also go to the business by email, and can be sent on with the transcript after the call, through Zapier (section 4).
7. Your choices
Anyone can ask us what we hold about them, ask for a correction, or ask for deletion. If you called a business that uses Answerling, we act on that business’s instruction where we can, and directly where we cannot reach them. If you are in California, you have the rights described in the California Consumer Privacy Act; we act as a service provider to our business customers for their callers’ data, and we do not sell or share personal information as that law uses those words. To make a request, email us at the address below.
8. Children
Answerling is a business service and this site is not directed at children under thirteen. We do not knowingly collect a child’s information; if you believe we have, tell us and we will delete it.
9. Changes
When this policy changes, the new version is posted here with a new effective date. If a change matters to how we handle your data, we tell our business customers directly.
